Commercial Facilities Manager

Summary
Under the direction of the Associate Director of Commercial, the Commercial Facilities Manager oversees all facilities-related operations across EBALDC’s commercial property portfolio. This role ensures that our commercial buildings are safe, functional, sustainable, and well-maintained to support thriving business tenants. A critical focus of this position is delivering exceptional customer service, fostering positive tenant relationships, and ensuring that all work reflects the organization’s commitment to professionalism, responsiveness, and community impact.
🛠️ Maintenance Operations & Coordination
- Inspect and manage repairs to building systems, including electrical, plumbing, HVAC, elevators, fire alarms, and access systems.
- Coordinate vendors for scheduled maintenance and emergency repairs across commercial assets.
- Develop and manage preventive maintenance programs to reduce downtime and extend asset life.
- Ensure all commercial facilities meet local, state, and federal codes and regulations (e.g., ADA, OSHA, life safety).
- Collaborate with Sustainability and Development teams to implement energy-efficient and eco-friendly practices.
- Maintain facility tracking in Yardi or relevant systems for scheduling, history, and reporting.
- Manage contracts for recurring services for major building systems including HVAC, janitorial, landscaping, plumbing, electrical, elevator, and fire/life safety systems.
- Supervise maintenance and janitorial staff, ensuring performance, accountability, and adherence to safety standards.
- Supervise and conduct evaluations for the maintenance and janitorial staff.
- Provide hands-on training and mentorship on commercial building systems and customer service.
- Implement and enforce safety protocols, conducting regular safety checks and training.
- Oversee inspections and ensure compliance with building codes, permits, and regulatory agencies.
- Develop SOPs and training resources for new and existing staff to ensure consistent service delivery.
- Serve as the primary facilities contact for vendors ensuring quick response to maintenance issues and questions in collaboration with the Commercial Project Administrator.
- Build positive relationships with tenants and vendors conducting regular check-ins to anticipate needs.
- Communicate clearly and professionally about work orders, maintenance timelines, and building access.
- Support tenant move-ins/move-outs, buildouts, and other operational transitions as needed.
- Document and track service delivery performance and tenant satisfaction metrics.
- Review scopes of work, draft RFPs, solicit, evaluate, and analysis proposals, and manage vendor contracts.
- Coordinates with other Property Management and Real Estate Department staff as necessary during rehabilitation of existing properties and during the construction of new properties
- Assist in budgeting for capital improvements, repairs, and service contracts.
- Manage all commercial capital improvement projects from planning to completion.
- Support annual budgeting and forecasting for commercial maintenance expenses.
- Ensure timely and accurate invoice processing, work order close-outs, and compliance documentation.
- Valid driver’s license and reliable transportation.
- Strong working knowledge of commercial building operations, systems, and codes.
- Proven leadership in supervising maintenance or engineering staff in a commercial setting.
- Demonstrated ability to foster strong customer service culture and tenant relations.
- Familiarity with commercial lease structures and facilities obligations within leases.
- Proficiency in Microsoft Office, Yardi (or comparable CMMS system), and vendor management platforms.
- Excellent written/verbal communication and conflict resolution skills.
- Ability to prioritize in a fast-paced, dynamic environment with competing demands.
- Experience in working with diverse tenants and vendors; sensitivity to equity and inclusion.
- Work in a cooperative and polite manner with other CRE and intradepartmental staff for work related projects and communication for the commercial portfolio.
- Participate in regular individual and team check in meetings in a helpful and cooperative manner
- Ability to perform other relates duties as assigned.
- Certification(s) such as FMP (Facility Management Professional), CFM (Certified Facility Manager), or BOMI designation.
- Experience with tenant improvements or commercial construction.
- Understanding of security systems, card access controls, and CCTV infrastructure.
- Familiarity with utility benchmarking and building performance metrics (e.g., ENERGY STAR, LEED O+M).
- Lift and carry items up to 50 pounds.
- Walk, stand, climb, and maneuver in tight spaces or on rooftops.
- Work in both indoor and outdoor conditions, including exposure to weather.
- Use hand and power tools, ladders, and safety equipment.
- Respond physically and promptly to onsite emergencies, including after-hour
Salary Range: $$92,000- $104,000 doe
